Start with the hotel entrance and guest list
Give the full property name and address, especially where a hotel group has several London locations. Ask reception which entrance a car, minibus or coach should use and where your party can gather before boarding. The guest entrance and the suitable vehicle stopping point may be different.
For a party staying across Bloomsbury and the West End, set out the passenger count at each hotel rather than one total for the day. Include bags travelling from each property and choose one group coordinator. Reception staff can help confirm the hotel’s arrangements, but the traveller should still have the agreed driver-meeting instructions.
Around Mayfair and Park Lane, a nearby coach space is not automatically a boarding point. Transport for London separates pickup/drop-off locations from parking spaces in its Park Lane coach guidance, including some spaces where passengers cannot board or alight. Confirm the practical stopping arrangement before telling guests where to wait.
Match airport and rail arrivals to the hotel plan
For an airport-to-hotel transfer, send the flight, terminal and arrival date alongside the hotel details. Count cabin bags as well as checked cases. If travellers arrive on different flights, compare one shared departure with separate collections, taking account of the complete group’s arrival pattern.
For station-to-hotel journeys, specify the railway station and train rather than simply asking for a London pickup. A group arriving at Euston and another arriving at Paddington need separate meeting arrangements, even when they share a hotel.
On the return, work back from the required airport or station arrival time and include every hotel stop. Allow for checking out, gathering the group and loading luggage before the road journey begins. Share early or late departure requirements when enquiring so availability can be assessed.
Plan what happens to luggage after checkout
A late flight or evening event can leave a gap between checkout and departure. Decide whether bags stay with the hotel, travel to the next venue or need another arrangement. Confirm storage directly with the property, including when the group can retrieve it.
If your group needs a vehicle to remain available between visits, include the waiting period and luggage requirements in the enquiry. The planned service, stopping arrangements and quotation should reflect the full movement.
An overnight stay also needs a separate vehicle-parking plan. Westminster City Council’s coach-parking guidance includes overnight restrictions at several locations. A hotel address or nearby parking bay is not confirmation that a coach can remain there throughout the stay.
Bring hotel guests together for an event
For business meetings and conferences, give the registration or presentation time, not just the event start. Identify how many delegates leave each hotel and whether the return is one departure or several waves.
Wedding guests may need hotel-to-ceremony, ceremony-to-reception and separate evening movements. Keep that sequence together in your wedding transport enquiry, including any guests returning to a different hotel.
Where the same stops need repeated departures, consider a planned corporate shuttle service. A shuttle timetable is a different requirement from one hotel transfer; explain the operating period and demand on each departure.
Choose the vehicle around people and bags

Cars and MPVs can suit a smaller party, while minibuses and coaches provide group options. More than one vehicle may be useful when hotels are spread out or guests have different departure times. Seats alone do not establish luggage capacity.
Standard, executive, luxury and wheelchair-accessible options can be requested, subject to route and availability. Describe essential features and boarding needs at the outset. If a passenger will remain in a wheelchair, distinguish that from carrying a folded chair and include relevant equipment dimensions.
Send a useful London hotel transfer brief
- Date and full hotel name, address and agreed entrance.
- Passenger numbers and luggage at each collection.
- Airport, train or venue details that determine the schedule.
- Requested pickup times and required arrival deadlines.
- Every stop, in order, with separate return movements.
- Mobility needs, bulky equipment and essential vehicle features.
Mark any provisional information clearly. If room allocations or guest numbers are still changing, send the best available breakdown and update it when the details are settled.
London hotel questions
Can a London hotel transfer collect from several properties?
Yes. Send each hotel’s address, passenger count and bags, together with the required arrival time at the destination. The route can then be assessed as a complete sequence. A shared meeting point or separate vehicles may be more suitable than a long collection circuit.
Will the vehicle meet us directly outside hotel reception?
The collection point depends on the hotel’s entrance, vehicle access and stopping arrangements. Check the property details and follow the meeting instructions agreed for your booking. Do not assume a coach can use the same entrance as a car.
Can we leave suitcases with the vehicle after checking out?
Include any waiting or luggage-storage requirement in the enquiry. A transfer booking does not establish that the vehicle will remain available between journeys. If bags are staying at the hotel, confirm that arrangement with the property and allow time to retrieve them.
Can guests return to different London hotels after an event?
Separate hotel drop-offs can be requested. List the destinations and how many guests travel to each, including any different departure times. Confirm the return sequence before sharing it with the group.
What should I send for a hotel-to-airport transfer?
Provide the hotel address, flight number, airport terminal, the airline’s check-in guidance, passenger count and luggage. Add every hotel stop and any boarding requirements so the pickup plan allows for the complete journey.
