Count the camping load as well as the passengers
A camping group may fill the luggage space before it fills every passenger seat. List the number and approximate packed sizes of tents, rucksacks, sleeping equipment and other bulky items. Include the belongings joining at each pickup and say whether the return load will differ.
Give the passenger total excluding the driver, plus boarding needs and mobility equipment. Ask for the actual proposed vehicle to be assessed against the whole load. Seat count alone does not establish luggage capacity, and a trailer or particular storage arrangement is not included by assumption.
Use the minibus options as a starting point for a smaller group, then submit the full camping load.

Make the return a journey in its own right
Give an actual calendar date and requested collection time for the return, even when it falls several days after departure. Allow time in your own plan for packing, leaving the campsite and reaching the agreed meeting point. Distinguish when the group expects to be ready from the time it hopes to arrive home.
List any passengers or drop-offs that differ on the way back. If you want the vehicle to wait or need an overnight arrangement, describe that explicitly so driver scheduling, accommodation where applicable and the quotation can be considered. Multi-day festival attendance does not by itself include a waiting vehicle.

Agree access and transport inclusions before booking
Glastonbury publishes a private-hire vehicle process. Its application to your trip depends on the actual vehicle and the current organiser requirements. A transport enquiry is not evidence that a pass has been issued or a particular gate is available.
Check who is responsible for any required vehicle permission, its cost and the agreed meeting instructions. Read the transport quotation for the vehicle, movements, waiting and change terms. Festival admission is a separate requirement; do not assume tickets or access charges are included.

Can we take tents and other camping equipment?

Can we travel out and return on different days?
